What this policy covers
This website, the quote form, email you send us, and client work we do for you after you accept a quote.
What we collect
- Your name, email address and, if you give it, your business name.
- The service or package you pick and the message you write. That can include business details you choose to send, such as a registration question or a clothing quantity.
- That you ticked the consent box, and the date and time we received the form.
- The IP address of the form submission and a short browser description. We put these in the email we send ourselves so we can spot abuse. We also keep a short-lived count of form submissions from each network address, stored as a hash, to limit spam. That count expires within an hour.
- Server logs kept by our host may include your IP address, browser type and the page you requested. The host uses these for security.
- Your cookie-notice choice, stored in local storage on your device. It is not sent to us. See the cookie notice.
- Once we work together: words, photos, brand files and invoices you send us.
Please don't put ID numbers, passwords or card numbers in the form. We don't ask for them, and we don't take payment on this website.
Why we use it
- To reply and to quote. Legal basis: your consent, given by the tick box. If you ask us to go ahead, we also use it to take steps toward a contract.
- To do the work you hire us for. Legal basis: the contract.
- To keep the site secure and limit spam. Legal basis: our legitimate interest in a working, safe website.
- To meet a law, such as tax records if we invoice you. Legal basis: a legal duty.
Who we share it with
Our hosting provider, currently HostAfrica, hosts this website and the mailbox hello@brandcrew.co.za. They are an operator under POPIA. They may see server logs and email that passes through their mail servers. We don't sell personal information. We may share information if the law requires it, or if you agree.
Cross-border transfers
We intend to keep this website and the enquiry mailbox with a South African host. Ask us if you need the country where a particular mailbox or backup is stored. If a tool we use for your project would store personal information in another country, we will tell you first, and we will only do it where POPIA allows.
How long we keep it
- Enquiries we don't take on: up to 24 months, then we delete them or make them anonymous, unless a law says we must keep them longer. You can ask us to delete an enquiry sooner.
- Client records: for the time we work together, and for up to five years after the last invoice, for tax and disputes.
- Server logs: for the host's usual short log cycle.
- The spam counter: about an hour.
Security
This site uses HTTPS. Access to the mailbox is limited. Email is not a fully private channel. Don't send secrets in the form.
Your rights
You can ask us to tell you what we hold about you, to correct it, to delete it where the law allows, or to stop a use you object to. You can withdraw the consent you gave on the form. We will then stop using those details for the enquiry, unless we must keep a record.
Write to hello@brandcrew.co.za. We will respond as soon as we reasonably can, and within the time POPIA requires.
